When everything falls through the cracks

Yuba River Charter School’s attendance clerk, Elena Cooper, started managing attendance in 2023. What she inherited was a system that wasn’t efficient or manageable: manual mail merges for letters, attendance tracked across multiple spreadsheets, post-it notes covering every surface, and no consistency across any of it. 

The school runs on an antiquated student information system (SIS) which meant she was managing everything manually—checking voicemails, emails, ParentSquare messages, and walk-ins at the front desk, all while trying to send timely outreach to families.

Students were falling through the cracks. There was no structure to catch them early, no efficient attendance monitoring, proactive attendance communications and no way to see a student’s full attendance history without digging through disconnected systems. Cooper had researched alternatives, but most either didn’t meet their attendance needs or were prohibitively expensive for a small charter school.

The approach

Replacing fifty spreadsheets with one system

Before Attendance Plus, Yuba River Charter’s attendance management lived in fragments. One spreadsheet for tracking absences. Another for parent contact attempts. A third for truancy letters. Physical file folders for documentation. And post-it notes everywhere to track the gaps.

Cooper describes the breaking point: “Without a good system that does a lot of it, it’s really hard to just continuously manage it without everything falling through the cracks, which is what was happening.”

Yuba River is a tight-knit community. Everyone knows all the families. There’s a lot of face-to-face contact. But that intimacy doesn’t solve the consistency problem—it just means Cooper was juggling fifty tasks at once with no automated support.

Attendance Plus gave Cooper what she’d been missing: a single place to see every student’s attendance history, track every intervention, and send messages without switching between platforms. The tiered system—green, yellow, orange, red—made it immediately clear who needed attention and what the next step should be.

One of the features Cooper relies on most is the library of pre-built attendance messages. For Tier 1, Tier 2, and Tier 3 families, ParentSquare provides templates she can customize and send in seconds.

The response from families surprised her. Parents who were historically unresponsive—to voicemails, emails, formal letters—are replying to the positive messages.

Before Attendance Plus, Cooper was checking four places for attendance-related communication: voicemails, emails, ParentSquare messages, and walk-ins at the front desk. Each channel required a different response workflow, and nothing was centralized.

Now, more parents are messaging her directly through ParentSquare—even for quick, one-sentence updates. That consolidation saves time, reduces errors, and creates a record of every interaction.

“More parents are messaging me through ParentSquare now, even if it’s really quick, versus leaving voicemails and really long emails. It’s been nice to consolidate all attendance calls and conversations.”

Building toward a prevention-first model

Yuba River Charter’s attendance rate is 94.5%, something the school is incredibly proud of. But the school has a few major outliers, and those students need intensive, coordinated support. Attendance Plus makes it easier to track what’s been done, who’s been contacted, and what comes next.

Cooper’s focus for 2026–27 is shifting from reactive to preventive. With a working system in place, the school can run a major attendance push in August, September, and October—before chronic absence patterns take hold.
