Enrollment marketing isn’t a season. It’s a relationship you build all year.

Written by Janelle Raney, Chief Marketing Officer, ParentSquare
At a recent enrollment webinar, a communications leader from a charter school asked a question we hear all the time: “Is it too early to start enrollment marketing before the winter holidays?”
It’s a fair question. But it reveals a hidden assumption worth challenging: that enrollment marketing is something you switch on for a few weeks, then switch off. In reality, the districts and schools winning families in 2026 aren’t running a seasonal campaign. They’re building relationships every day of the year, so that when a family is ready to choose, the choice already feels obvious.
So no, marketing before the holidays isn’t too early. But the more useful reframe is this: there is no “too early,” because enrollment marketing never really stops. Here’s why that mindset shift matters, and how to put it to work.
In this post:
“A family’s impression of your school is built over months, sometimes years, through every interaction they have with you and every story they hear from a neighbor.”
Why “when should we start?” is the wrong question

Asking when to begin enrollment marketing assumes families make their decision in the window when your campaign is live. They don’t. A family’s impression of your school is built over months, sometimes years, through every interaction they have with you and every story they hear from a neighbor.
Your reputation isn’t built in enrollment season. It’s built every day in between.
That’s especially true now that families have more options than ever. Declining birth rates mean schools are competing for a shrinking pool of students, and enrollment is no longer guaranteed.1 It’s earned. A seasonal “open enrollment” push treats families like a transaction. A year-round approach treats them like a relationship, and shifts the goal from filling out a form to building a sense of belonging. Belonging is what earns you a family’s “yes,” and keeps them for years.
For the charter leader who asked the original question, this is good news. Starting before the holidays isn’t premature; it’s right on time. But it works best as one visible moment in a story you’ve been telling all year.
What families are actually doing, and when
Understanding the decision timeline helps explain why year-round presence beats a single burst. Enrollment tends to follow a predictable funnel: families research in the fall, apply in the winter, make decisions in early spring, and complete registration through late spring. Private school deadlines often land around mid-January, charter and magnet deadlines fall between November and January, and public registration can run from November all the way through March.

Notice what that means for a charter school specifically: if families are applying in December and January, they’re researching in the fall, which is exactly when marketing “before the holidays” reaches them at the perfect moment. Wait until January to start, and you’re introducing yourself after many families have already made up their minds.
It’s also worth knowing where families are most likely to move. Switching often happens at natural transition points: the early elementary years, the move to middle school, and the start of high school. And families are genuinely shopping: by conservative estimates, over half of U.S. parents considered a different school last year, and about one in five actually switched.2 The families you serve are being courted, and so are the families you’d love to gain.
Celebrate what makes your school worth choosing
Here’s where year-round marketing gets both easier and more authentic. You don’t have to manufacture reasons for families to choose you. You have to consistently show the ones that already exist.
Whether you’re a public district, a charter, or a private school, ask the question every family is really asking: Why should I enroll my child here? Then answer it, not with a brochure in March, but with a steady stream of real moments all year long. The teacher who stayed late to help. The robotics team’s first win. The dual-language program. The counselor families trust. The traditions that make your community feel like home.
“The schools that stand out lead with storytelling, not just information. They let families see and feel the experience rather than only reading about it.”
Research consistently shows what drives the choice: teacher and academic quality (cited as “very important” by roughly 80% of parents), safety and school climate (around 71%), and proximity and convenience (the top factor for about 44% of public-district parents).3 Your everyday communication is where those strengths become visible. A photo from a science fair, a short video from a teacher, a story about a graduate’s scholarship: these are marketing, even when they don’t feel like it.
The schools that stand out lead with storytelling, not just information. They let families see and feel the experience rather than only reading about it.

Six ways to strengthen enrollment all year
Enrollment isn’t just about attracting new families. It’s about creating an experience that builds confidence from the first impression to the first day of school. Here are six ways to do that all year long, most of them using tools you already have.
1. Tell stories that help families picture themselves there
Parents aren’t simply evaluating academic programs. They’re imagining whether their child will thrive. Celebrate the everyday moments that make your school special: a student performance, a dance team competition, a teacher who went the extra mile, a successful graduate, or a community tradition families love. Share those stories consistently through the channels you already use, and lean into social media, where current families can share and amplify your wins to their own networks. Stories like these do more than fill a newsletter. They help prospective families picture themselves as part of your community.

2. Invite families to experience your culture
Nothing replaces seeing your school in person. Make campus tours, open houses, performances, athletic events, family nights, and community celebrations part of your year-round strategy, not just enrollment season. Even better, let prospective families hear from the people who know your schools best. Student ambassadors and current parents answer questions with an authenticity no brochure ever could. And after every visit, follow up. A simple thank-you message, answers to common questions, and reminders about important deadlines keep the conversation going.
“The enrollment experience should feel as welcoming as your school.”
3. Make enrollment easy
Once families are ready to enroll, they shouldn’t have to hunt for information. For many families your website is the first impression, so treat it as a marketing experience rather than a resource hub. Our guide to school website best practices for family engagement walks through how. Then ask yourself a few honest questions: Can someone find enrollment information in under a minute? Are forms available online? Can documents be completed electronically? Is help available in multiple languages? Is it clear who to contact? Every extra step creates friction, and every unnecessary delay gives families another reason to look elsewhere. The enrollment experience should feel as welcoming as your school.
4. Communicate consistently and reach every family
Consistency is what turns communication into reputation. For your current families, that means sharing stories throughout the year, celebrating achievements, and keeping everyone informed, with every message accessible on mobile and available in their preferred language.
For prospective families, give them an easy way in: let them opt into a community group so they receive your event invitations and enrollment-deadline reminders right alongside everyone else. The same engine that keeps today’s families connected is what welcomes tomorrow’s.
5. Turn your community into your marketing team
The most trusted voice isn’t your website. It’s another parent. Current families, alumni, PTA members, grandparents, coaches, and community partners all shape how your schools are perceived. Give them stories worth sharing, invite them to events, celebrate student success, and encourage them to spread the word. The strongest enrollment marketing doesn’t come from advertising. It comes from people who genuinely love your schools.
6. Build referral pipelines with the people families already trust
When a family is new to the area or weighing their options, they often ask someone they trust long before they ever visit your website. Local preschools and daycares, realtors, pediatricians, libraries, and community organizations all field those questions, so make sure they know your story. Offer to drop off enrollment materials, invite them to your events, and keep them updated on important deadlines.
The schools that consistently grow enrollment aren’t the ones that start earliest. They’re the ones that never stop building relationships.
Retention is your best recruitment strategy

The most overlooked truth about enrollment is that your current families are your future enrollment strategy. Keeping a family costs far less than finding a new one, and families who feel informed, welcomed, and connected become your most credible ambassadors. Every positive interaction creates another story they’ll tell neighbors, coworkers, friends, and relatives.
Word of mouth isn’t something that suddenly appears during enrollment season. It’s the result of a year’s worth of positive experiences. Which brings us back to the original question. Is it too early to start enrollment marketing before the holidays? Not at all. But the schools that consistently grow enrollment aren’t the ones that start earliest. They’re the ones that never stop building relationships.
