The Power of Easy: How ParentSquare Smart Sites Helped My District Reimagine Communication & Community Connection

Amber Belako, Supervisor of Communications, Grants & Websites for Amherst County Public Schools in Amherst, VA

Picture this: It’s my first day. My first meeting. 9 a.m. And I’m about to tackle what my superintendent outlined as priority number one: fixing our websites.

I sat down with our school-based web managers in my new role as Supervisor of Communications, ready to get to work. Within twenty minutes, I realized the problem was bigger than anyone anticipated. Our websites had become digital mazes where families spent precious time hunting for basic information, teachers avoided updating their pages entirely, and web managers were overwhelmed just trying to keep content current. This wasn’t just an isolated website issue, it was a daily friction point felt across our entire school community.

And when you’re responsible for communication across an entire district, the goal is simple: make information easy to find, understand, and trust. But for many school districts—including mine—that goal can be hard to achieve with outdated websites, inconsistent content, and tools that unintentionally create barriers for families and staff.

That’s what launched our ParentSquare Smart Sites journey.

Why we needed a change

Our previous district website had served its purpose, but it no longer met the needs of our community. If this sounds familiar, you’re not alone—here’s what we were up against:

  • Frustrated families. Essential information required multiple clicks through confusing navigation. Parents often told us they’d given up and called the school office instead—adding to staff workload.
  • Teachers who were reluctant to change. Updating their webpages was time consuming and complicated. Many simply stopped trying, leaving outdated information visible to families for months (and in some cases, years!).
  • Overwhelmed web managers. The complexity of maintaining multiple school sites while trying to keep districtwide consistency felt like an impossible balancing act.

We weren’t just looking for a new website platform. We were looking for a better way to connect with our community, and one that would actually work for everyone involved.

Seeing ParentSquare Smart Sites in action

When we explored ParentSquare Smart Sites during our demo, it was immediately clear the solution was built around how people actually search for district or school information.

Three things stood out right away:

  • Intuitive navigation that mirrored our needs. Instead of requiring us to organize content in a predetermined way according to a static structure, Smart Sites let us design around what mattered most to our district and the questions our families actually ask such as: “When is the next school board meeting?” “How do I register my child?” or “What’s happening this week?”
  • Designs that empowered rather than restricted. Our web managers could customize their school website pages while automatically maintaining districtwide branding standards. We no longer had to choose between consistency and flexibility.
  • Mobile-first design. When parents pulled up the new websites on their phones and told us they could instantly find what they needed, they told us, “This makes sense! It’s so much easier to navigate and find the information we’re looking for.”

The biggest takeaway was simple: this was a system designed for users, not just administrators. ParentSquare Smart Sites would work for everyone, not just the communications team.

Launching our new district website

Launching a new website can feel daunting, but ParentSquare made the process smooth and manageable from the start. As we prepared for launch, we focused on clarity, consistency, and visual storytelling.

But one challenge became clear early on. Going into the website migration, we knew we were carrying years of accumulated content such as outdated pages and documents, duplicate information, and broken links. Rather than transferring everything over, we used the transition as an opportunity to audit and prioritize content.

We asked ourselves: “Does our community actually need this? And is this information current and accurate?” The cleanup took extra time upfront, but it meant launching with a truly useful district website rather than a prettier version of the same problem.

When the site went live, the feedback was immediate and affirming.

Families shared that they could finally find what they needed without frustration. Staff appreciated the clean layout and ease of sharing updates. Because our website and communications live on the same ParentSquare platform, updates no longer require recreating the same message in multiple places. One school-based web manager summed it up perfectly when they said: “This is easy and it makes sense!”

Such positive feedback confirmed we had made the right choice.

User-friendly for everyone: the true game-changer

What truly sets Smart Sites apart is how accessible it is for every audience:

  • For parents and community members: Logical navigation and responsive design make it easy to find key information—whether on a phone, tablet, or desktop. Families spend less time searching and more time engaging.
  • For school-based web managers: ParentSquare Smart Sites empowers staff at the school level. With intuitive tools and beautiful and flexible designs, web managers can maintain pages efficiently while staying aligned with districtwide branding standards. Updating content no longer feels intimidating. They can confidently share news, events, and highlights, knowing the information will be presented clearly and consistently.

As one web manager told me, “I used to avoid my website duties. Now I actually look for opportunities to highlight what’s happening at our school.”

Storytelling with purpose

Beyond functionality, Smart Sites gave us the ability to tell our story visually and authentically.

High-quality images, flexible content blocks, and homepage features allow us to highlight student achievements, celebrate staff, and showcase the vibrant life of our schools.

Our website is no longer just a repository for outdated announcements and documents. It’s a living reflection of our school community. When families visit now, they see their children’s faces, read about real classroom experiences, and feel connected to the heartbeat of our schools.

Lessons learned along the way

Every successful launch comes with lessons. Here are the biggest takeaways I’d share from our journey:

  • Listen early and often. We surveyed families and staff before making decisions about navigation structure and content priorities. Their input helped us build a site structure that’s meaningful and easy to use.
  • Clean up content before migration. Auditing and prioritizing content upfront kept us from carrying old problems onto our new website.
  • Provide clear training and ongoing support. We offered trainings at multiple times and created quick-reference guides so web managers knew help was always available as they built confidence.
  • Treat your website as ever-evolving. We refine content monthly using feedback and analytics, and Smart Sites makes continuous improvements simple.

Each step reinforced a simple truth: lasting success comes from keeping people—not just technology—at the center of the process.

The impact is undeniable

Best practices to keep in mind

Based on our experience, here’s what I’d recommend to other districts considering ParentSquare Smart Sites:

  • Design with families in mind first. Start with their questions and needs, not your organizational chart.
  • Establish a clear content strategy. Know what information belongs where and who’s responsible for keeping it current.
  • Balance consistency with customization. Districtwide standards matter, but schools need room to showcase their unique identity.
  • Empower staff through training and trust. Give web managers the tools and confidence they need, then step back and let them shine.

As part of ParentSquare, our school-home communication platform, Smart Sites helps our websites and communications work together seamlessly, so we can create information once, share it across channels, and maintain a consistent voice without extra work.

Looking ahead

ParentSquare Smart Sites continues to open doors for deeper engagement and more meaningful storytelling. We’re excited to keep refining our content strategy, exploring new features, and amplifying the voices within our schools.

Our biggest takeaway is simple: when technology gets out of the way, communication thrives—and when communication thrives, communities grow stronger. Smart Sites didn’t just give us a better website. It gave us a better way to serve families, support staff, and celebrate what’s happening across our district.

If your district is struggling with outdated tools, frustrated users, and communication barriers, I understand—I’ve been there. But from experience, I can say this: the right school website solution changes everything. ParentSquare Smart Sites helped us move from “I can’t find it” to “This finally makes sense,” and that’s made all the difference for our school community.
